PDF form filling guide: AcroForm, flat forms, XFA, and scans

A PDF form is not one single technology. Some forms contain real fields, some are flat page artwork, some are scans, and some use technologies that ordinary browser viewers handle poorly. Knowing the form type helps you choose the right workflow and avoid submitting a file that looks filled on your screen but fails somewhere else.

Four common PDF form types

The four types users most often encounter are AcroForm fields, flat forms, XFA forms, and scanned forms. A single file can also mix these types. For example, a form may have real text fields on page one, a scanned instruction page, and a flat signature block at the end. Do a quick inspection before entering private information.

AcroForm fields

AcroForm is the common interactive form model supported by many PDF viewers. Text fields, checkboxes, radio buttons, dropdowns, and signature fields may exist as objects separate from the page artwork. These fields are convenient, but they still need review. Field appearance can vary between viewers, required flags may not be enforced by every tool, and calculated fields may depend on software behavior.

Flat forms

A flat form looks like a form but has no interactive fields. It may be a PDF exported from a word processor, a printed form converted to PDF, or a document where all fields were flattened before sharing. To fill a flat form, the editor places visible text, checkmarks, or signature marks on top of the page. Alignment and final visual review matter more than field preservation.

XFA forms

XFA forms are less predictable in general browser workflows. Some open only in specific PDF software. Some show a warning instead of the real form. Some have dynamic behavior that changes fields based on earlier answers. If a document says it requires a particular application, do not assume a web editor can preserve the intended behavior.

Scanned forms

A scanned form is an image of paper. The printed words are pixels, not source text. OCR may help you search or copy words, but it does not recreate the original form technology. Filling a scanned form usually means placing overlays in the right visual location. Use a second viewer after export to catch alignment problems.

How to inspect a form before filling

  1. Click a blank area and see whether a real input cursor appears.
  2. Try tabbing through fields to check whether the file has interactive order.
  3. Select printed labels. If labels cannot be selected, the page may be scanned or flattened.
  4. Look for instructions saying “open in Adobe Acrobat,” “dynamic form,” “certificate,” or “official portal.”
  5. Make a one-field test export before filling a long or sensitive form.

Example: why a field can disappear

A user may fill a field in one viewer, save the PDF, and then find that the answer is missing in another viewer. This can happen when the value exists but the field appearance was not regenerated, when the receiving viewer ignores a form feature, or when the file depends on software-specific behavior. A practical test is to fill one harmless field, export, reopen the file elsewhere, and confirm the value is still visible before completing the entire form.

When to return to the original source

If a form requires many paragraph edits, dynamic sections, calculations, official validation, or exact typography, it may be better to return to the original Word, Google Docs, InDesign, or form-builder source. A PDF editor is strongest for final review changes and visible completion. It is usually not the best tool for redesigning a form or rebuilding a complex official packet.
